1. Who we are
Voice Digital is the data controller for the personal data processed via voicedigital.agency and in the course of our services. You can reach us via hallo@voicedigital.agency or +31 6 15259719.
2. What data we process
We process the following categories of personal data:
- Contact details: name, email address, phone number and company name, when you fill in the contact form, send an email, take the free PR scan, or complete the Brainstorm Check and leave your details.
- The content of your message: what you tell us via the contact form, PR scan or Brainstorm Check (including your answers), so we can respond to your query.
- Usage data: anonymised or pseudonymised statistics on how the website is used, via Google Analytics (see article 7).
- Data from the collaboration: if you become a client, also billing and contract details required to perform the agreement.
3. What we use data for
We use personal data to:
- respond to a contact request PR scan or Brainstorm Check request;
- prepare a quote and perform an agreement;
- improve the website based on anonymised usage behaviour;
- comply with legal obligations, such as our record-keeping duties.
4. Legal basis for processing
We process personal data based on: performance of (or preparation for) an agreement, our legitimate interest in answering questions and improving our services, consent (for example for non-essential analytics cookies, where required), and compliance with a legal obligation.
5. How long we keep data
We do not keep personal data longer than necessary for the purpose for which it was collected. Contact requests that do not lead to an assignment are kept for a maximum of 2 years. Data related to an agreement is kept for as long as the statutory (tax) retention period requires, generally 7 years.
6. Who we share data with
We only share personal data with third parties when necessary for our services, such as Google (Google Analytics, see article 7) and any software we use for email or invoicing. Where required, we enter into a data processing agreement with these parties. We never sell personal data to third parties.
7. Cookies and Google Analytics
Our website uses Google Analytics to gain insight into visitor behaviour, such as which pages are visited and for how long. This data helps us improve the website. Google Analytics sets cookies for this purpose (such as _ga and _ga_*), which can remain for up to two years. We only set these analytics cookies after you have actively given consent through the cookie banner. If you reject, we do not load Google Analytics. Your choice is stored in your browser. You can withdraw or give your consent at any time via the 'Cookie settings' link at the bottom of every page. Functional storage that is necessary for the website to work is used without consent.
8. Security
We take appropriate technical and organisational measures to protect personal data against loss or unlawful processing, including a secure (https) connection for sending data via our website.
9. Your rights
You have the right to access, correct or delete your personal data, to have processing restricted, to object, and the right to data portability. You can send a request to hallo@voicedigital.agency. We will respond to your request within four weeks.
10. Complaints
Do you have a complaint about how we handle your personal data? Please contact us first so we can resolve it together. You also always have the right to file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) or your local supervisory authority.
11. Changes to this policy
We may update this privacy policy from time to time. The most current version is always available on this page.
